FEATURES AND BENEFITS OF eDOCs

Functionality and Benefits:

eDOCs is an internet-based program that provides Citizens agents 24/7 access to ePAS and eWIND system generated documents. It also provides agents the ability to:

  • Access documents from any location. eDOCs is especially helpful during hurricane season should you have to operate from a remote location.
  • Receive documents several days before policyholders receive them.
  • View, print and/or download documents generated in ePAS and eWIND.
  • Save 'Quick Links' that will take the user back to documents they were previously reviewing.
  • Track delivery and receipt of communications through eDOCs and encrypt (password- protect) documents that have been sent.
  • Access a user-friendly ‘Help’ menu while using eDOCs.

eDOCs is especially helpful should you have to relocate agency operations due to a catastrophic event in your area.

Delivery:

System generated documents should be delivered by midnight the day after they are processed. Agents should e-mail eDOCs@citizensfla.com if their documents have not been delivered within 24 hours. Agents can choose how they wish to receive their documents:

  1. Archive With Notification: E-mail notification that new documents have been archived; or
  2. Archive Only: No e-mail notification sent when documents are archived (viewable via the search method)
  3. Email: Specific or all documents sent via e-mail in addition to being archived in eDOCs
NOTE:
  • Agents are now receiving policyholder documents.
  • The file size of policyholder new business and renewal documents is considerably larger (approximately 330k), so please ensure that your agency’s e-mail provider is able to receive and open large attachments.
  • To accommodate the change in file size, you may change your delivery preference.

To change your delivery preference, go to “Profile” in eDOCs, then select “Delivery Preference” and choose one of the three options for each document type.

Passwords:

eDOCs offers the ability to change and update Passwords. The “Forgot Password and User ID” enhanced feature allows users to receive a temporary Password and/or User ID.

Accessing eDOCs:

For access to the eDOCs document archive program, the Agency Principal (AP) should complete the Agency Principal and User Admin eDOCs Training. Link Opens New Window Once the training is complete, the AP should send an e-mail to eDOCs@citizensfla.com for instructions on how to obtain the User ID and Password for accessing the eDOCs archive systems.
